1.0 The Tournament Committee

1.1 Committee Duties:
Tournament Committee Co-Chairs responsibilities;

- keeping the seeding chart up to date
- keeping the tournament history up to date
- work with the host school on all aspects of the tournament; welcome package, tournament information
- determine if necessary which schools sit out
- The Tournament Committee serves as the Discipline Committee.The Discipline Committee is responsible for participant behaviour during the tournament. This includes players, coaches, school employees,and spectators.
- Regional representative responsibilities
Before: review tournament schedule and set coaches meeting with co-chairs and host school
During: sit on the discipline committee and facilitate running of the Tournament
2.0 Dates
2.1 To be held for 3 days between Thursday and Sunday following the Thanksgiving weekend unless compelling circumstances warrant a change.
2.2 All dates are subject to approval by the CAIS Athletic Directors Executive
3.0 ELIGIBILITY
3.1 Teams The tournament should include 8 to 24 teams, which meet the following requirements:
- Schools must be members of CAIS (exception: see Effective Practices).
- Schools must attend the tournament on a regular basis (i.e. not miss 2 events in a row).
- Schools must commit to host or co-host CAIS athletic events.
- Schools applying for a one-year participation privilege will only be permitted to play if a regular participant school’s involvement is not compromised.
3.2 Students
- Full time students in good standing within their institutions. Exchange students who come for a term or students with exceptional circumstances (i.e. training for a national or other high level 'team', skill, etc.), who are taking a reduced academic load, are not considered full-time. CAIS ADEX maintains that ultimately the decision on the interpretation of 'full-time' students should rest with the Head of School.
- 18 or under as of December 31 of the school year in which the tournament takes place.
- Maximum number of players on the tournament roster may not exceed 20.
- Schools have the ability to appeal to CAIS ADEX to allow a student to participate who does not meet the eligibility requirements detailed above.
- Appeals must detail exceptional circumstances, and supporting documentation should be included or may be requested. An appeal based solely on the number of days beyond the age eligibility cut-off date will not be entertained.
- The appeal must be in writing and received by the Chair of CAIS ADEX no later than 21 days prior to the scheduled tournament coaches’ meeting.
- CAIS ADEX will solicit input from the Co-Chairs of the Tournament Committee prior to rendering a decision. All appeals must be accompanied by a $100 application fee (payable to the host school) and signed by the Athletic Director and Head of School. The decision will be communicated within 7 days of receipt and will be final.
4.0 ENTRY FEES
4.1 $1500 per team (up to 12 players and 2 coaches). Additional players and support staff will be charged $125 each.
4.2 The CAIS ADEX must approve any increase in the tournament fees. Appeals to raise the fees must be submitted to the CAIS AD Executive Chair 6 months prior to the tournament date.
4.3 Fee Forfeiture if team withdrawal occurs:
- Within two months of the date of the coaches’ meeting date - full fees
- Between four and two months of the date of the coaches’ meeting date - 50% of fees
- From the application deadline/confirmation day until four months before the coaches’ meeting date - 25% of fees
This allows the host school to proceed with their financial and overall planning for the tournament. There may also be a hotel cancellation fee required by the tournament hotel, and/or fees for t-shirts ordered. There also may be sanctions against the school’s future participation in the tournaments determined by the CAIS ADEX Committee.
With the exception of an unforeseen last-minute school emergency, there should be no excuse for pulling out of a CAIS tournament.
4.4 Facility Rental Surcharge
Host schools that require rental facilities to run the tournament, may apply to the tournament co-chairs for a team surcharge to a maximum of
$400 to help cover rental costs. In order to request this surcharge, the host school must submit a budget for review by the tournament committee.
5.0 Rules of Play
5.1 Any adopted rule changes will take effect the following year unless there are extenuating circumstances.
5.2 Official federation rules will be in effect. Teams will be notified of any regional rules and these will be discussed at the Coaches’ Meeting.
Substitutions, with permission from the referee, may occur after goals, injuries, half time, goal kicks and on own possession throw-ins. When the team in possession substitutes, so may the other team.
5.3 The length of game periods will be 35 minutes.
5.4 A team will be awarded 3 points for a win and 1 point for a tie.
A maximum goal differential of 5 will be used when recording game results
5.5 Ties are allowed in pool play and friendlies. For quarter-finals, semi-finals and final games, overtime will be 2, 10-minute periods followed by penalty kicks. These are not sudden victory periods.
5.6 Tie Breakers
In the event of a tie in the standings at the conclusion of round robin competition the team awarded the higher standing will be:
- Head to head result- winner between tied teams takes the higher standing
- If still tied, the team with the least goals against in games involving the tied teams takes the higher standing (max of 5 goals against)
- If still tied, goal differential in head to head competition between tied teams.
- If still tied, the team with the least goals against in games involving all teams in the division
- If still tied, the team with the best goal differential using all games vs teams in the division (max of 5 goals per game)
- Penalty kicks if still tied
Process:
- If a tie involves two or more teams, and the process is able to successfully rank the teams with no ties remaining, this ranking will be used to seed the teams.
- If the process is only able to reduce the number of tied teams by one or more and a tie still exists, the teams that are no longer tied will assume their new ranking.
- The process involving the remaining tied teams shall commence again from the beginning.
5.7 A size 5 ball will be used.
5.8 Discipline
- Ejection (straight red card) from a game will result in an automatic suspension from the team’s next game and will be reviewed by the Discipline Committee.
- A third yellow card over the course of the tournament will result in a 1 game suspension.
- A fourth yellow card will be reviewed by the Discipline Committee
- Any suspension from the next game may be appealed to the Discipline Committee.
Where a team has a playable alternative strip, they will be asked to change uniforms to properly distinguish the two sides. In the case where neither team has a playable alternative strip, “the home team” will wear ‘pinnies’ to be provided by the host school.
6.0 Sitting out process
6.1 the event of the number of applicants not matching the required number, the criteria for sitting will be:
- Volunteers
- A geographical lottery, removing schools within a close proximity of the tournament. "Close proximity" means that a school would not participate because they are in the same general area as the host school.
- Assuming that there are no schools within the general geographical area of the host, a random draw would be conducted among the schools on the list eligible for sitting out.
6.2 Once a team has sat out, they will be removed from the sitting-out draw until all of the other teams have taken their turn to sit out. No one will be required to sit out a second time within 3 years of sitting out the 1
st time.
6.3 Schools scheduled to host a tournament will be guaranteed participation in the event, the year before they host, their hosting year, plus the year following.
6.4 In the case of tournaments where in a given year there are more than two hosts, all of the host schools will not be exempt from sitting out the year before and after hosting. Although, a minimum of one or more of the schools must be awarded participation the year before and after hosting
6.5 If a regular participant school is unable to participate one year, their position will not be in jeopardy the following year.
6.6 After an exhaustive search, if a CAIS school cannot be found to complete the tournament roster, and the integrity of the schedule is at risk, then a non-CAIS school may be added. The Convenor and Tournament Committee must strive to find a team which would be competitive without dominating, and one whose coaching staff understands the difficulty of this non-CAIS school issue. The Convenor may adjust the fees charged to this team as deemed necessary. The Convenor should strive to seed the team as best as possible without upsetting the competitiveness of the draw and the geographical representation included in the groupings. To maintain the integrity of the awards history of the tournament, should a non-CAIS team win a title, the best finishing CAIS school would receive the award(s).
6.7 Should a school miss two tournaments in a row, then the Tournament Committee may select a replacement. Should a school that has been replaced wish to take part in the tournament in future years, they will follow the same application procedure as for all new schools.
6.8 Schools that volunteer to sit out after February 15
th of the tournament year and are subsequently asked to participate in order to complete the designated team format, will be credited with a “year-out.”
6.9 Schools that have committed to participate prior to the February deadline and later withdraw from the tournament may not be credited with a “year-out” and may face sanctions, including but not limited to, meeting all tournament related financial obligations.
7.0 Tournament Format:
The tournament format must provide each team with an equal opportunity to achieve success. Each host must use the templated draws provided by CAIS ADEX.
How to seed the division and then balance the pools
- seed all teams in the Division
- Snake seeding is used for establishing pools
- Example for snake seeding
- place seeds 1, 4, 5, 8 in pool A, and seeds 2, 3, 6, 7 in Pool B
- you may reassign team 5 to 8 for possible geographical balance
- randomly assign team numbers in each pool
